API 401 or 403 Error? Access & Token Checks
Fix an app connection that keeps saying “unauthorised”, “forbidden” or “token expired”. Find out whether the problem is access, settings or code.
An API lets one app ask another app for information or ask it to do a job. The connection needs permission, a bit like signing in. An error does not always mean the service is down. The app may be using an expired access key, the wrong account or permissions that do not cover the job. Start with the exact error.
Things to check first
- Write down the error, time and app action that failed. Hide passwords, access keys and customer details before sharing it.
- Check that the connection uses the right account and the right test or live setup. Ask the account owner to check its access settings.
- Note whether it works just after signing in but fails later. This may help the developer check how access is renewed.

Postman is a tool developers use to test app connections. This CMiC example shows where they choose the access method. Your app may need different settings. Never share real access keys in a screenshot.

- Find why access fails
- Check the account and permissions
- Fix access renewal if needed
- Test the actual task between the apps
- Explain how to manage the connection
Questions to ask before hiring
- Which account and permissions does this need?
- How will you test access after it expires?
- Who will own the access keys?
Red flags
- Requests full account access without a reason
- Puts secret keys in shared code or screenshots
- Tests only a fresh login and ignores later failures
Agree what the job includes
- Name the apps and the task that must work, such as reading a customer or creating an order. A “connected” badge alone is not enough.
- Ask where access keys are stored and what happens when they expire. The app should only get the permissions it needs.
- Agree whether the price covers access errors only. Bad information or other code faults may need more work.
What to send the freelancer
- Send the help links, error text and steps to make the fault happen. Do not include secret keys in the brief.
- Arrange test access with only the permissions needed. Check whether other tools use the same connection before replacing it.
- Agree whether the price covers code changes, live setup and a final test.
How to check the work is done
- The app completes the agreed task in the correct account.
- If expired access caused the fault, the developer shows that renewal works too.
- You receive simple notes on the change, where access is managed and what to do if it fails again.
What may cost extra
- The app provider still decides account approval, paid access and permissions.
- New features or moving customer records needs a separate price.

Common questions
Are API 401 and 403 errors the same problem?
They can point to different access problems. Keep the exact error and check the app provider’s instructions. Do not assume changing the password or granting full access is the right fix.
Why does an API connection work after login and then fail later?
Access may expire and need renewal. Ask the developer to check what happens after expiry, rather than showing only a successful fresh login. Never paste access keys into a public brief.
